Clinic Secretary/Clerk 

To provide academic/clinical/administrative support within the Department of Pediatrics. The work is divided between 3 major components Academic, Clinical and Administrative.

Academic –
-Assists members of the division in formatting and finalizing different kind of reports (reports for granting agencies, research reports, progress reports for the division)
-Typing manuscripts, abstracts, research proposals and papers for publication and subsequent revisions. Arranging courier packages to publishers within North America.
-Typing grant applications.
-Ensure members of the division have current updates CV’s and licenses on file on an annual basis.
-On a monthly basis, creating and updating on-call service schedules, residents/fellows clinic schedules and distributing to various hospital departments and individuals.
-Assist in the formatting of Clinical Practice Guidelines.

Clinical –
-Assist in the development and distribution of Standards of Care.
-Transcribing general pediatric consult letters.
-Retrieving pertinent patient charts for the doctor’s reference.
-Assisting external physicians to locate lab results and following up on outstanding consultations.
-Reproducing entire patient charts to go to other doctors treating patients external to the hospital.
-Maintains clinic patient databases
-Coordinating patient referrals and booking new patients
-All Pre-clinic preparations: calling and confirming patient appointments. Pulling and updating charts with lab and consults, entering patient to registry and generating patient cover sheet,
-During clinic acts as front-person.
-After clinic enters clinic statistics, updates Doctors information, Completes billing information, updates CERNER; books all follow up appointments and coordinate any other clinics and tests required

Clinic Receptionist 

The Clinic Receptionist is part of a team providing a full range of clerical services in the support of patient care. The position performs clerical/reception functions such as data entry and scheduling. Duties range from routine to complex and include maintaining a highly confidential electronic medical record system, correspondence, and communication.

This position requires direct interaction with patients and medical personnel on a daily basis. The incumbent has frequent exposure to minor and major disagreeable conditions such as biomedical and non-biomedical wastes. Tasks are completed under pressure with frequent interruptions.

Organizational Status
Reports to the Clinic Manager. Interacts, and shares information, with the Clinic Manager, Clinic Director, staff physicians, clinical office assistants, specialists, and their staff and patients to provide quality patient care.

Research Facilitator

Our research within the Child Development Programme in the Early Human Experience Unit (EHEU) focuses on understanding the significant interactions between caregivers and infants on both behavioural and biological levels that contribute to infants benefiting from the challenges of early development.

The Research Facilitator will assist with program implementation, data collection and analyses in the Developmental Neurosciences and Child Health research cluster.

Organizational Status
The incumbent will work closely with other members of the research team in the Child Development Programme and the EHEU including post-doctoral fellows, students, research assistants and staff from the Developmental Neurosciences and Child Health research cluster.

Work Performed
– Provide program training/presentations to B.C. health and community professionals
– Serve as a consultant to heath care professionals to advise them regarding the evaluation of the implemented program
– Create grant applications, program evaluation reports, presentations on program status and emerging study results, databases and spreadsheets
– Organize program public education campaign and evaluate the effectiveness of the campaign
– Conduct surveys with B.C. health professionals
– Organize translation projects and oversee evaluation of the cultural changes needed
– Manage program website
– Manage inventory of program materials and supplies to evaluate overall distribution of the program in the province

Main Office Program Assistant

This position is responsible for essential program administration processes such as international student work permit processing, co-op registration, grades entry, graduation checks, system transcripts generation, assisting with international placements visa processing, performing course enrolment checks, and co-op assignment collection.  Additional responsibilities include handling students’ and employers’ inquiries, supporting other team members in job postings and data entry during peak seasons and perform other related duties.

Organizational Status
Reports to the Program Director and Assistant Director, Administration. Works in conjunction with other Program Assistants.

Work Performed
International Students Co-op Work Permit Processing
– Initiates Co-op Work Permit application for newly admitted International students in the program
– Diligently follows up with all international students to ensure they have successfully applied for their permit before commencing job search.  Restrict job access for students who do not follow immigration requirements
– Drafts complex instructions to students based on their needs
– Exercises judgement in raising concerning cases to International House for handling
– Maintains records of student study permit and work permits expiry and review newly issued Work Permits to ensure they are meeting the Program’s requirement
– Organizes Co-op Work Permit Information Sessions in conjunction with International House Advisors and other Co-op Programs on campus
– Generates supportive letters for students’ work permit applications
